The Project Administration Officer is pivotal in supporting project management of the company. This role involves essential tasks such as sales pitching, project coordination, scheduling, and budget oversight. By liaising with clients, managing project documentation, and ensuring seamless project execution, the Project Administration Officer upholds the company's reputation and values.
We are currently searching for an experienced Project Administrator Officer.
Job Duties:
The major responsibilities of this position include:
- Proactively follow up on leads provided by the Operations Manager, nurturing client relationships, and advocating for project proposals.
- Safeguard confidential information with discretion and integrity.
- Maintain an organized and updated project and leads registry with the assistance of the Operations Manager.
- Facilitate scheduling for delivery, production, templating, and installation activities.
- Innovate and refine administrative systems to streamline company procedures.
- Foster strong correspondence with clients and address their inquiries promptly.
- Support inventory control processes within the production department.
- Manage multiple projects concurrently, maintaining oversight without direct control.
- Handle sensitive information in a confidential manner
- Review and evaluate new administrative procedures
- Delegate work to office support staff
- Establish work priorities and ensure procedures are followed and deadlines are met
- Carry out administrative activities of establishment
- Assist in the preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
- Perform data entry
- Resolve conflict situations
- Monitor and evaluate
- Plan and control budget and expenditures
- Coordinate project photoshoots, social media posts, and stagings
- Assist marketing Department with schedule, budgets and content
- Act as a central resource for departmental coordination, ensuring optimal efficiency in project-related matters.
- Take accurate minutes of meetings.
- Provide clients with accurate project information.
- Ensure that all departments are up to date with all project relevant information, to perform their duties efficiently.
Support the Operations Manager in the following tasks, occasionally substituting into this role when necessary:
- Maintain project files once assigned.
- Collaborate with the Operations Manager and Production Manager to coordinate construction schedules.
- Oversee delivery and installation processes.
- Ensure project completion and provide comprehensive reports to the Operations Manager.
- Coordinate payment schedules with the Operations Manager.
- Resolve any issues that arise during project execution.
- Control project budgets effectively.
- Develop project proposals including mood boards, preliminary designs, and cost estimates.
- Conduct meetings to finalize project designs.
- Contribute ideas and support to research and development efforts.
You will be required to train apprentices.

Skills requirements:
- 3 years of work experience
- College diploma in business or public administration
- Strong client relationship management skills
- Preferably in millwork, construction or interior design industry.
- Competent in Google Workspace applications.
- Willingness to assist other team members and work collaboratively.
Terms of employment:
Permanent Position from 40 hours per week

- Candidates with additional certifications or courses relevant to the job role are awarded extra points.
- Construction industry experience is considered an asset.

Salary:
From CAD$28.40 to CAD$32.00, depending on your work experience

Hours of work:
From Monday to Friday
Available on-site from 8:00 am to 4:00 pm and as requested.
Flexibility required for meetings or emergency calls outside of regular hours.
Attendance at company meetings with project status reports is mandatory.
