Role and Responsibilities 

  • Overseeing the reporting team, ensuring accurate and timely reporting processes.
  • Supporting and providing guidance to Board Members on necessary changes based on report insights, while communicating and coordinating with other departments.
  • Reviewing and auditing all reports ensuring that processes and reports are being done (including retail, mobile, patrol, etc.), and providing monthly reports to the Board Members covering asset management structure and related changes.
  • Overseeing the purchase and distribution of uniforms for guards, and reporting on the recovery and collection of uniforms.
  • Overseeing uniforms processes including purchasing and distributions of uniforms, reporting on recovering and collection and ensuring uniforms are maintained up to hygiene standards.
  • Overseeing, tracking, and reporting on all company asset management, including but not limited to vehicles, uniforms, credit cards, and other items across Canada.
  • Coordinating and managing all site and client specific equipment (ex. Monitors, body cameras, radios, etc).
  • Overseeing vehicle maintenance, coordinating maintenance schedules with Mobile Managers and ensuring that all vehicle insurance is up to date and coordinating repairs and services for vehicles where needed.
  • Analyzing report findings to identify areas of improvement and providing recommendations to address issues as needed.
  • Communicating to ensure that reports and data are understood accurately and consistently across various work teams and stakeholders.
  • Providing support to any additional operation functions and teams where needed.
  • Actively involved in Operations which includes but is not limited to:
    • Working closely with the Mobile team;
    • Performing daily audits on TrackTik tours;
    • Reviewing and following-up on tours/token scans; and
    • Troubleshooting issues and directing mobile team to make corrections with tours
  • Communicating or delegating report related tasks to the reporting team, as the main point of contact company-wide for reporting.
  • Reviewing incident reports from our Mobile team:
      • Following up in WhatsApp groups to encourage good work OR providing feedback; and
      • Following up with clients OR ensuring that the correct client communication is sent by the relevant teams.
      • Ensuring guards are completing the Vehicle Inspection Reports accurately and as required.
  • Maintaining your current duties for your direct reports which includes but is not limited to:
    • Participating in regular audits of reporting groups.
    • Compiling data and assessing productivity of the department and certain reporting o groups.
    • Compiling and sending various reports/presentations to internal stakeholders.
    • Reviewing and editing daily reports from employees in WhatsApp.
    • Checking in with employees and managers to get clarification on reports or details as o needed.
    • Ensuring that all client communication is handled within the prescribed deadlines.
    • Communicating with clients effectively and professionally
    • Assisting with general administration, systems administration, and ad-hoc projects as required.

 

Education, Skills and Competencies Required

Education/Experience: Minimum 1-2 year of experience or completion of college or other program in administrative field.

Communication Skills: Excellent verbal and written communication abilities.

Organizational Skills: Strong ability to organize, multitask, prioritize, and work under pressure.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn new software.

Interpersonal Skills: Good interpersonal skills to interact with a diverse group of people, including staff, management, and external partners.

Attention to Detail: High level of accuracy and attention to detail.

Problem-Solving Skills: Ability to identify and resolve problems efficiently and effectively.

Discretion: Capable of handling sensitive and confidential information with discretion.

Proactive: Takes initiative and works well independently as well as part of a team.

Adaptability: Flexible and able to adapt to changes in workload and tasks.

Punctuality and Reliability: Must be dependable, timely, and reliable, especially in responding to urgent security needs.

Ethical: Strong ethical standards and integrity are essential in a security-related environment.
