We are actively looking for a creative and dedicated Administrative Assistant to become a vital part of our dynamic team. The ideal candidate will play a crucial role in supporting the seamless operation of our administrative functions, thereby enhancing the overall efficiency of our organization. Below are the key responsibilities and requirements for this position:

 

Job duties:

  • Manage the flow of information by opening and distributing incoming mail and coordinating communication internally and with external partners, enhancing collaboration across departments and with other organizations.
  • Respond to telephone and electronic inquiries, relay messages, and provide information to enhance interactions with customers and partners.
  • Prepare, edit, and proofread a variety of documents, such as correspondence, invoices, presentations, brochures, and reports, ensuring they align with the unique brand and voice of Hell's Gate Airtram.
  • Organize, schedule and confirm appointments and meetings for management and across departments, optimizing time and resources to support the seamless operation of Hell's Gate Airtram. Record and prepare minutes of meetings, capturing key discussions and action items to support effective decision-making.

 

  • Order and maintain inventory of merchandises and office supplies, ensuring administrative and overall operations run smoothly and efficiently.
  • Greet visitors warmly, determine the nature of their business, and direct them to the appropriate team member, ensuring a welcoming and professional environment. Gather customer feedback and suggest improvements, supporting initiatives that enhance the visitor experience at Hell's Gate Airtram.
  • Gather and compile data from various operational departments, assisting in the preparation of reports and correspondence that contribute to strategic planning and operational improvements.
  • Arrange travel schedules and make reservations for staff, ensuring all travel plans align with company policies and operational needs.
  • Assist in maintaining communication with nearby sightseeing attractions, coordinating meetings and follow-ups to explore potential collaboration opportunities.
  • Aid in the procurement process by preparing documentation, coordinating with suppliers, and assisting in the negotiation and signing of contracts to ensure favorable terms for the company.

 

Requirements:

  • Completion of secondary school is required. Higher education, especially studies in the fields of administration, economics, and social science is preferred. 
  • Clerical experience is required.
