Job Title: ADMINISTRATIVE ASSISTANT – LEGAL (NOC 13111) 

Job Type: Full Time/Permanent

Wage: $25.00/Hour

Location: Brampton, ON

Language: English        

Education: Bachelor’s Degree or 1–2-year college program

Experience: 1 year to less than 2 years

Job Responsibilities:

  • Prepare and draft correspondence and immigration-related documents, such as client letters formats, application forms, affidavits, and briefs, based on instructions, dictation, or draft materials.
  • Review immigration forms and documents to ensure accuracy, and correct grammar and formatting.
  • Organize and maintain both physical and electronic filing systems, ensuring that client files and immigration documents are stored in compliance with regulated standards and confidentiality requirements.
  • Monitor application status to track the progress of client’s applications to ensure timely processing.
  • Schedule appointments, meetings and conferences.  
  • Keep detailed and organized records of all applications and correspondence.
  • Establish and maintain office routines and procedures to ensure efficient daily operations within the firm.
  • Train and support junior administrative staff in office procedures and the use of immigration software systems, ensuring team efficiency.
  • Attending seminars and meetings to take notes and dictation.
  • Perform any other general office work as required.

 

Qualifications and Skills: 

  • At least 1 - 2 years related experience.
  • Secondary school or equivalent
  • Excellent planning and organizational skills and attention to detail
  • Ability to multitask.
  • Ability to work independently and with a team too.
  • Flexibility to adjust to shifting priorities.
  • Have good communication skills.
