Job Description:
We are seeking a friendly and organized Receptionist to be the welcoming face and voice of our company. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer service, and supporting administrative tasks. This role is crucial in creating a positive first impression for clients and visitors.

Job Duties: 

1. Front Desk Management:
Greet clients, visitors, and employees with a warm and professional demeanor.
Answer and direct incoming phone calls, taking messages or forwarding calls as necessary.
Manage the reception area, ensuring it is clean, organized, and welcoming at all times.
Handle incoming and outgoing mail, packages, and deliveries, distributing them appropriately.

2. Customer Service:
Provide information and assistance to clients, addressing inquiries and guiding them to the appropriate person or department.
Manage and respond to general email inquiries, ensuring timely and accurate communication.
Assist clients with the completion of forms or other documentation as needed.

3. Administrative Support:
Schedule and confirm appointments for clients and staff, managing calendars effectively.
Maintain and update client records, both in physical files and electronic databases.
Assist in the preparation of documents, reports, and correspondence as required.
Order and maintain office supplies, ensuring that the reception area is well-stocked.

4. Billing and Filing:
Assist with billing procedures, including preparing invoices, processing payments, and tracking client accounts.
Maintain accurate records of all financial transactions related to client billing.
Organize and file documents, including financial records, client information, and correspondence, ensuring they are easily accessible.

5. Coordination and Communication:
Coordinate with other departments to facilitate smooth communication and workflow.
Support the organization of company meetings, workshops, and events by managing RSVPs and preparing materials.
Act as a liaison between clients and consultants, ensuring clear and effective communication.


Qualifications:
1. High school diploma or equivalent; additional education in office administration or related fields is an asset
2. Proven experience as a receptionist or in a similar customer service role is an asset
3. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
4. Excellent organizational skills and attention to detail
5. Ability to multitask and manage time effectively in a fast-paced environment
6. Professional appearance and a positive attitude
