Synctech Solutions Ltd. are looking for a highly organized, detail-oriented, and proactive Administrative Assistant to support our growing team and ensure smooth operations within the office.

JOB DUTIES
The duties of the Administrative Assistant at Synctech Solutions Ltd. will include but are not limited to:
- Prepare, edit, and proofread correspondence, invoices, presentations, brochures, reports, and other related materials from machine dictation and handwritten copy to support ongoing business operations and client communications.
- Open, sort, and distribute incoming mail and electronic communications, ensuring timely and accurate dissemination of information to internal teams and external partners.
- Coordinate the flow of information between various departments, clients, and third-party organizations, fostering seamless communication in alignment with business priorities.
- Schedule and confirm appointments, meetings, and travel for management and staff, ensuring efficient use of time and resources.
- Order office supplies, maintain inventory, and ensure office equipment is well-maintained, minimizing disruptions to day-to-day operations.
- Answer and direct telephone and electronic inquiries, relaying messages and facilitating client communication.
- Set up and maintain both manual and computerized filing systems for organized record-keeping and easy retrieval of important information.
- Establish and maintain office procedures to ensure consistent efficiency and quality of service across all departments.
- Greet visitors, determine the nature of their business, and direct them to the appropriate staff member or department.
- Record and prepare minutes of meetings, ensuring key points and action items are documented and shared with relevant stakeholders.
- Coordinate and arrange travel schedules, accommodations, and logistics for staff and management, aligning with project needs and business objectives.
- Compile and organize data, statistics, and other information to support the team’s research and development efforts related to smart home technologies, IT solutions, and security systems.
- Support the coordination and execution of conferences, client presentations, and company events related to smart home and office solutions.
QUALIFICATIONS
- Completion of secondary school is required.
- 1-7 months of experience working in related position is required.
