JOB DESCRIPTION

Synctech Solutions Ltd. provides cutting-edge smart home and office solutions to residential and commercial clients across Canada. Synctech Solutions Ltd. are looking for a highly organized, detail-oriented, and proactive Administrative Assistant to support our growing team and ensure smooth operations within the office.

 

EMPLOYMENT LENGTH: PERMANENT 30Hrs Full Time

LANGUAGE OF WORK: ENGLISH

WAGE: $37/Hour

JOB DUTIES

The duties of the Administrative Assistant at Synctech Solutions Ltd. will include but are not limited to:

  • Prepare, edit, and proofread correspondence, invoices, presentations, brochures, reports, and other related materials from machine dictation and handwritten copy to support ongoing business operations and client communications.
  • Open, sort, and distribute incoming mail and electronic communications, ensuring timely and accurate dissemination of information to internal teams and external partners.
  • Coordinate the flow of information between various departments, clients, and third-party organizations, fostering seamless communication in alignment with business priorities.
  • Schedule and confirm appointments, meetings, and travel for management and staff, ensuring efficient use of time and resources.
  • Order office supplies, maintain inventory, and ensure office equipment is well-maintained, minimizing disruptions to day-to-day operations.
  • Answer and direct telephone and electronic inquiries, relaying messages and facilitating client communication.
  • Set up and maintain both manual and computerized filing systems for organized record-keeping and easy retrieval of important information.
  • Establish and maintain office procedures to ensure consistent efficiency and quality of service across all departments.
  • Greet visitors, determine the nature of their business, and direct them to the appropriate staff member or department.
  • Record and prepare minutes of meetings, ensuring key points and action items are documented and shared with relevant stakeholders.
  • Coordinate and arrange travel schedules, accommodations, and logistics for staff and management, aligning with project needs and business objectives.
  • Compile and organize data, statistics, and other information to support the team’s research and development efforts related to smart home technologies, IT solutions, and security systems.
  • Support the coordination and execution of conferences, client presentations, and company events related to smart home and office solutions.

QUALIFICATIONS

  • Completion of secondary school is required.
  • 1-7 months of experience working in related position is required.
